Platinum Technology, a Managed Service Provider (MSP), established in 2011, provides managed IT services and support to small and medium-sized businesses. The company acts as an outsourced IT department offering live technical helpdesk support, computer support, proactive care, round-the-clock maintenance and consulting to local businesses. Time, experience and technology automation tools have helped them develop best practices and workflow procedures for a proactive philosophy designed to keep focus on their clients' business.
Platinum Technology provides professional IT support for businesses in Northern Colorado. As an MSP, they've helped their clients to reduce downtime, increase profitability, and deploy IT solutions that best fit their business. The company's vision is to enable their clients with data services in addition to existing offerings around network setups, hosted servers/desktops, backup and disaster recovery. The company realized the need for an enterprise file synchronization and sharing solution to not only solve their own business challenges around data management and security, but also to address their clients' requirements for file sharing, data security, HIPAA (Health Insurance Portability and Accountability Act) compliance, GLBA (Gramm-Leach-Bliley Act for personal financial data), mobility, enhanced workflows and collaboration. As a Citrix Solution Provider (CSP), Platinum Technology turned to Citrix to expand their portfolio of IT services with ShareFile Enterprise. Since the company needed to support regulatory and compliance requirements, Platinum Technology also required a solution that offered on-premises data storage options, not just cloud options.
Many of Platinum Technology's clients are in the Healthcare and Financial Services industry where sharing protected health information (PHI) and private financial information must adhere to strict collection and disclosure regulations. Platinum Technology found value in Citrix ShareFile's offer to enable secure data management, data transparency, data security, adherence to data compliances and mobile data access for both them and their clients. Platinum Technology also needed to provide their clients with an enterprise-grade file sharing solution to replace several consumer-grade file sharing services (Dropbox, Box, and rampant usage of USB sticks) that were placing their client's data at risk and offered no control or visibility of what data was being stored, accessed or shared.
The company chose ShareFile because the solution is flexible enough to meet enterprise requirements for keeping corporate data safe. ShareFile gave Platinum Technology and its clients secure IT oversight by allowing control over file access as well as insight into who is uploading and viewing content. The IT team is able to define policies that allow the right level of secure access for each user that's backed by authorization capabilities.
The ShareFile solution helped them solve their clients' "Dropbox problems" and most importantly kept data secure to adhere to HIPAA and GLBA compliance standards. "We ran into the Dropbox problem when realizing some our clients' employees were using unsecure and unapproved personal file sharing services. Dropbox is not a secure solution and it needed to be replaced right away," said Les Archuleta, CEO of Platinum Technology. ShareFile's reporting and auditing features enabled Platinum Technologies to track and log user activity for their clients in real time, which helped with data transparency.
ShareFile has also allowed Platinum Technology to provide a mobile data solution to its clients, who needed to gain access to existing network shares and other data repositories from mobile devices. "A huge benefit of ShareFile revolves around being able to share files with third-parties. Our company and our clients need to share files with people outside of our organizations, while also applying compliance and security regulations." – Les Archuleta, CEO of Platinum Technology.
ShareFile has also allowed Platinum Technology to provide a mobile data solution to their clients, where needed to gain access to existing network shares and other data repositories from mobile devices. Enabling effortless and secure access to corporate data from outside corporate networks, including from mobile devices, without the need for costly and time-consuming migration, is another reason Platinum Technology chose ShareFile. "For the longest time, people were physically taking files offsite. ShareFile enabled our mobile workforce the ability to access files anywhere, from any device. The mobility piece is especially huge for our healthcare and finance customers," said Archuleta, , CEO of Platinum Technology. ShareFile's StorageZone Connectors provides direct and secure access to data in its original location, extending the value of SharePoint and other enterprise data repositories. "The solution is especially great for our clients who are using SharePoint," said Archuleta. ShareFile provided Platinum Technology with a good mobility solution that shared data securely across any device.
ShareFile offered Platinum Technology the flexibility to choose where data is stored (on-premises, in the cloud or a combination of both) to meet specific requirements for data sovereignty, compliance, performance and costs with StorageZones. Currently, the company is managing their own datacenter using HP 3PAR to create secure connections with their clients. The ShareFile StorageZones Controller supports multi-tenancy, allowing partners to manage multiple customers in a single zone. This simplifies business processes, allowing partners to scale their business faster, create better reporting and greater oversight.
Platinum Technology has the ability to develop, brand, market and sell additional IT services that include ShareFile technology. Meeting data security and compliance requirements for their clients is very strategic to their business. ShareFile has helped Platinum Technology increase its profitability and loyalty with their client base. "ShareFile is tailored to meet the needs of the managed service provider market," said Archuleta.
Platinum Technology plans to continue the expansion of their ShareFile implementation along with that of their clients. Currently, the company is looking into ShareFile's data loss prevention (DLP) feature for more stringent data security and compliance requirements. They are interested in evaluating workflow automation processes with ShareFile Platinum that incorporates RightSignature and Podio for enhanced workflow collaboration with automated digital signatures. "ShareFile is a great enterprise product. Implementing this solution has been a great fit and the rollout process went really well, thanks to the product adoption team!" – Les Archuleta, CEO of Platinum Technology.
